Run a rooftop job in SurgePV from the first call to handover, without re-typing it at each step
For Indian installers who today keep leads in WhatsApp, purchase in Excel and installation in a crew group. The idea: a lead is the early stage of a project, so one record carries the sold design from the call to the commissioning report. Engineering can be done in-house or ordered from Heaven Designs inside the same project. There are two portals: the installer's, and one for the homeowner. Procurement becomes a platform where manufacturers sell direct and pay SurgePV a commission.
How it works
- Work the lead. Pooja sees 4 follow-ups on her phone and 24 open leads on the pipeline board. Vikram Bhosale accepts proposal v2 (5.4 kWp, ₹3,02,400) on a call.
- Mark it won. She picks the accepted proposal and records the ₹60,480 advance. The same record, KP-1042, moves into delivery. Subsidy (₹78,000) stays separate from the price.
- Choose the engineering path. In-house in the studio, or a Heaven Designs permit-ready pack for ₹2,950 + GST, due next working day. Survey photos, bill and the sold design go with the request automatically.
- Answer questions, review the package. Heaven Designs asks about a water tank; the crew lead answers with a photo and the clock pauses. The pack arrives with two options; because it differs from what was sold, Vikram re-approves option A in his homeowner portal before anything is bought.
- Buy from the design. The approved design becomes a 9-line buy list: 7 to buy (estimate ₹1,98,500), 2 from the store. One request for quotes goes to 3 suppliers. A sponsored direct offer from Vardhan PV, a module maker, sits on the modules line, labelled and not pre-selected.
- Compare like with like. The cheapest-looking quote is missing 2 lines and adds freight. Malwa is complete at ₹1,95,500, but modules direct from Vardhan plus Malwa's other 6 lines come to ₹1,89,500, ₹6,000 less. Nikhil approves two POs, ₹2,06,528 with GST. Deliveries are received against them: 1 earthing kit short (closed next day) and 12 of 12 module serials scanned. Vardhan pays SurgePV 2% (₹2,628) on its order.
- Plan and install. The project plan holds DISCOM net-metering, inspection, subsidy and payment milestones. Crew A is scheduled Tue 10 to Wed 11 Nov; Raju gets a phone job card with the photos to take.
- Keep the homeowner in the loop. Vikram's portal shows the stage, what he must approve or pay (70% ₹2,11,680 once material is in), installation day, net meter and subsidy steps.
- Hand over. Serials are reconciled against the design, the as-built revision is recorded, the handover pack goes on WhatsApp, the last ₹30,240 is invoiced and the project moves to monitoring.
What it is and isn't
What's in it
- One pipeline; manual stage moves with readiness hints
- Won to project without a new record
- Heaven Designs request, questions, delivery and review
- Customer re-approval when the design changes
- Buy list, request for quotes, compare, PO with approval, goods receipt
- Project plan, DISCOM and subsidy paperwork, crew week, phone job card, handover
- Homeowner portal: status, approvals, payments, documents
- Sponsored direct offers from manufacturers, paid by commission on orders
Not in this version
- Collecting payments or e-sign (the CRM outline excludes both; payments are recorded only)
- Accounting, stock valuation, a full ERP (export to Tally or the ERP instead)
- Monitoring after handover (separate roadmap item)
- State-specific DISCOM forms
- EPC companies and ground-mounted projects: a different flow by company size; a later variant
Release order
| Phase | What ships |
|---|---|
| A | Pipeline board, lead page, mark as won into a project, project overview. This is the CRM work already scoped. |
| B | Heaven Designs request inside the project: place, message, deliver, review, customer re-approval. Opens services revenue from software customers. |
| C | Buy list from the approved design, CSV export, then request for quotes, compare and PO. |
| D | Project plan with DISCOM and subsidy milestones, crew week, phone job card, handover. Homeowner portal alongside. |
| E | Sponsored direct offers: one or two module and inverter makers, commission on orders, manufacturer results page. Needs enough order volume on SurgePV first. |
Still to decide
- Split the 13 project statuses into sales stages and delivery stages? Recommended: yes. One record, two boards; sales and operations watch different columns.
- How is Heaven Designs billed? Recommended: per package on a monthly invoice to the installer, price shown before placing.
- Does SurgePV send RFQs and POs, or only export them? Recommended: send by email with a PDF plus a WhatsApp link; also export CSV for Tally or an ERP.
- Track stock? Recommended: only an "in store" quantity per catalogue item, no valuation.
- Who approves POs and customer price changes? Recommended: Admin by default, configurable in roles.
- What commission do manufacturers pay? Recommended: 2% of order value ex-GST, flat and published; no paid ranking in the first version, so installers trust the compare table.
- Will distributors stop quoting? Recommended: let distributors post sponsored offers on the same terms.
- Should Heaven Designs see supplier prices? Recommended: no. It sees design inputs only.
